What if we cannot maintain ratios during an emergency?

by | 14 Jan 2025

In an emergency like an evacuation or lockdown, maintaining standard staff-to-student ratios can be challenging, particularly in a school environment. Here are some practical tips tailored to schools to help manage such situations effectively when ratios cannot be maintained:

  1. Safety Comes First

The top priority is the safety of all students and staff. Follow your school’s emergency protocols, as well as any instructions provided by wardens, the Chief Warden, or local authorities. Always aim to keep everyone calm and organised to minimise panic.

  1. Effective Communication
  • During an evacuation, ensure clear and consistent communication among staff to account for all students and coordinate efforts. Use radios or designated communication channels as outlined in your school’s emergency plan.
  • In a lockdown, keep communication minimal and discreet to avoid drawing attention to your location. If possible, confirm safety updates with key staff using secure methods.
  1. Stay Flexible

Emergencies can require immediate role adjustments. Be prepared to take on tasks outside your usual responsibilities, such as:

  • Supervising additional students.
  • Supporting other staff who may be overwhelmed.
  • Providing reassurance to anxious students.

Flexibility and teamwork are critical in such moments.

  1. Prioritise Student Needs

When ratios are stretched, focus on the most vulnerable students first, including younger children or those with special needs. Assign available staff strategically to ensure all students are supervised to the best possible extent.

  1. Document After the Emergency

Once the situation is resolved, document any deviations from standard procedures, including reasons and actions taken. This is essential for:

  • Post-incident reviews.
  • Improving emergency plans.
  • Meeting compliance requirements.
  1. Practice Regularly

Frequent reviews and practice of your school’s emergency plans, in line with Australian Standard 3745 and other best practices, are essential. Drills should simulate real scenarios, including situations where standard ratios are not possible. This helps staff and students understand their roles and improves confidence in handling real emergencies.

Reflect on Your Preparedness
